Privacy Policy
ICON Detailing LLC, a California limited liability company (“ICON,” “we,” “us,” or “our”), respects the privacy of its clients. Discretion is part of what we sell. This policy explains what personal information we collect through icondetails.com and in the course of providing services, how we use it, and the rights you have over it under California law.
1. Information We Collect
Information you give us
- Contact details — name, telephone number, email address.
- Service location — the address where the vehicle will be serviced, and any access instructions you choose to provide, such as gate codes or parking directions.
- Vehicle information — make, model, year, color, condition, and any notes you give us about the vehicle.
- Appointment details — preferred dates and times, selected package and add-ons, and any notes you include with your request.
- Correspondence — the content of emails, texts, and calls between us.
Information collected automatically
- Standard server and hosting logs, which may include IP address, browser type, device type, referring page, and timestamps. Our hosting provider generates these as a normal part of serving the Site.
- Local browser storage used by the Site’s offline app functionality. This stays on your device.
What we do not collect
- We do not collect or store payment card numbers. Card payments are handled directly by a third-party payment processor.
- We do not collect Social Security numbers, government identification numbers, financial account numbers, biometric data, or precise background geolocation.
- We do not knowingly collect information from children under 16.
- The vehicle quote tool on our Site runs entirely in your browser. Your make, model, year, and condition selections are not transmitted to us unless you go on to submit a booking request.
2. How We Use Your Information
- To respond to enquiries and confirm, schedule, and perform appointments.
- To reach your vehicle and complete the service you requested.
- To prepare quotes, invoices, and receipts, and to collect payment.
- To keep a service history so we can care for your vehicle correctly on return visits.
- To send appointment confirmations, reminders, and follow-ups relating to your service.
- To send occasional marketing or seasonal offers — only if you have opted in. Every marketing message includes a way to unsubscribe, and unsubscribing never affects your service.
- To maintain records required for insurance, tax, and legal compliance.
3. We Do Not Sell Your Personal Information
ICON Detailing LLC does not sell personal information, and does not share personal information for cross-context behavioral advertising, as those terms are defined by the California Consumer Privacy Act as amended by the California Privacy Rights Act (“CCPA/CPRA”). We have not done so in the preceding twelve months.
4. When We Disclose Information
We disclose personal information only in these circumstances:
- Service providers acting on our behalf and bound to protect it — our payment processor, website host, email provider, and scheduling or invoicing tools.
- Our insurer, where necessary in connection with a claim.
- Legal requirements — when required by law, subpoena, or valid legal process, or to protect our rights, safety, or property.
- Business transfer — in connection with a merger, acquisition, or sale of assets, in which case this policy continues to apply to the information transferred.
We do not disclose client identities, addresses, or vehicle collections to any third party for marketing purposes. Non-disclosure agreements are available for private clients on request.
5. Photography
We photograph vehicles before and after service for quality documentation and marketing. Published images never include license plates, VINs, addresses, or client names. You may opt out of any marketing use of images of your vehicle at any time by contacting us — no explanation required.
6. Cookies and Analytics
The Site does not use advertising cookies or third-party behavioral tracking. The Site loads web fonts from Google Fonts, which may receive your IP address as a technical necessity of delivering those fonts. If we add analytics in the future, this policy will be updated before it goes into effect.
7. Data Retention
We keep client and service records for as long as needed to service your account and to meet legal, tax, insurance, and accounting obligations — generally four years from your last service, consistent with California recordkeeping requirements. Access details such as gate codes are deleted when they are no longer needed. You may request earlier deletion, subject to those legal obligations.
8. Security
We use reasonable administrative, technical, and physical safeguards to protect personal information, including encrypted transmission of the Site over HTTPS and access limited to personnel who need it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your California Privacy Rights
If you are a California resident, the CCPA/CPRA gives you the right to:
- Know what personal information we have collected about you, the sources, the purposes, and the categories of parties to whom it was disclosed.
- Access a copy of the specific pieces of personal information we hold about you.
- Correct inaccurate personal information.
- Delete personal information we hold about you, subject to legal exceptions such as tax and insurance recordkeeping.
- Limit the use of sensitive personal information. We do not collect or use sensitive personal information for any purpose beyond providing the service you requested.
- Opt out of sale or sharing. We do not sell or share personal information, so there is nothing to opt out of — but the right stands.
- Non-discrimination — we will never deny service, charge a different price, or provide a lesser standard of service because you exercised a privacy right.
How to exercise your rights
Email admin@icondetails.com or call (415) 496-5471 with the subject line “Privacy Request.” We will confirm receipt within ten (10) business days and respond substantively within forty-five (45) days, extendable once by a further forty-five (45) days where reasonably necessary, and we will tell you if we need the extension.
To protect your information, we will verify your identity before acting — typically by matching the email address or telephone number already on your service record. An authorized agent may submit a request on your behalf with written permission signed by you.
10. Communication Preferences
Transactional messages about a booked appointment are part of providing the service. Marketing messages are opt-in and every one carries an unsubscribe link; text messages can be stopped by replying STOP. To be removed entirely, email admin@icondetails.com.
11. Children’s Privacy
The Site and our services are directed to adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.
12. Third-Party Links
The Site may link to third-party sites, such as review platforms or a payment page. We are not responsible for their privacy practices, and we encourage you to read their policies.
13. Changes to This Policy
We may update this policy from time to time. The current version, with its effective date, is always posted at icondetails.com/privacy.html. Material changes will be noted at the top of this page.
