Terms of Service
These Terms of Service (the “Terms”) govern all detailing services provided by ICON Detailing LLC, a California limited liability company (“ICON,” “we,” “us,” or “our”), and all use of icondetails.com (the “Site”). By booking an appointment, accepting service, or using the Site, you (“Client” or “you”) agree to these Terms. If you do not agree, please do not book.
1. Services
ICON provides mobile automotive appearance services, which may include hand washing, interior cleaning and extraction, paint decontamination, polishing, sealant and ceramic coating application, and related add-on services (collectively, the “Services”). Services are performed at a location you designate.
ICON provides cosmetic and appearance services only. We are not a repair shop. We do not perform mechanical, electrical, structural, body, glass, or paint repair work, and nothing we do should be understood as a repair, restoration, or warranty of any vehicle component.
2. Booking and Appointments
- Requests submitted through the Site, by phone, or by text are requests, not confirmed appointments. An appointment exists only once ICON confirms it directly.
- Appointment times are estimates. Traffic, weather, and the actual condition of preceding vehicles may shift arrival windows. We will communicate material delays as early as practicable.
- ICON may reschedule for weather conditions that prevent safe or effective work, including rain, high wind, extreme heat, or unsafe air quality. Rescheduling for weather carries no fee.
3. Pricing, Quotes, and Estimates
- Prices published on the Site, including any figure generated by the Site’s vehicle-specific quote tool, are good-faith estimates based on the vehicle information you provide and a vehicle in average-to-good condition for its class.
- All pricing is confirmed on site following a brief walk-around and before any work begins. You will be told the final price before we start, and you may decline at that point at no charge.
- Conditions that materially exceed the assumptions of the estimate — including pet hair, biological soiling, smoke saturation, mold, heavy oxidation, excessive tar or overspray, or prolonged neglect — may require an adjusted price or a longer appointment. We will not proceed with adjusted pricing without your approval.
- Certain vehicles, including exotic, collector, and high-value vehicles, are quoted individually by consultation rather than from a published price.
4. Payment
- Payment is due in full upon completion of the Services unless otherwise agreed in writing.
- We accept major credit and debit cards, Apple Pay, and Google Pay. Card payments are handled by a third-party payment processor; ICON does not store full card numbers.
- Multi-day work, ceramic coating packages, and paint correction may require a deposit. Deposits are applied to the final balance.
- Balances unpaid more than thirty (30) days after service may accrue interest at the lesser of 1.5% per month or the maximum rate permitted by California law, together with reasonable costs of collection.
5. Cancellation, Rescheduling, and No-Shows
- Please cancel or reschedule at least 24 hours before your appointment. There is no fee for changes made within that window.
- Cancellations inside 24 hours, or a vehicle that is not accessible on arrival, may incur a trip fee of up to $75 to cover reserved time and travel.
- Deposits on ceramic coating and paint correction bookings are non-refundable inside 48 hours of the scheduled start, as those appointments displace other work.
- ICON may cancel or decline any appointment at its discretion, including for safety, access, or vehicle condition reasons. In that event any deposit is refunded in full.
6. Site Access and Client Responsibilities
Because our work is mobile, the service location matters. You agree to provide:
- Legal, safe, and reasonably level parking with sufficient clearance to work around the entire vehicle;
- Any gate codes, garage access, permits, or building authorizations required, and permission from the property owner or HOA where applicable;
- Access to water and a standard electrical outlet where the booked service requires it. If you cannot provide these, tell us at booking — we carry self-contained water and power, but must plan for it.
You further agree to:
- Remove all personal belongings, valuables, cash, electronics, firearms, medication, and documents from the vehicle before service. ICON is not responsible for items left in the vehicle.
- Disclose in advance any aftermarket paint, wrap, respray, repainted panel, paint protection film, existing coating, aftermarket electronics, non-factory modification, or known defect. Undisclosed modifications materially change the risk of any process we use.
- Confirm you are the owner of the vehicle or are authorized by the owner to have the Services performed.
7. Vehicle Condition and Pre-Existing Damage
Detailing reveals defects that dirt conceals. Swirl marks, scratches, chips, etch marks, oxidation, failing clear coat, cracked or dried trim and leather, water spotting, prior body work, and prior poor-quality paint work frequently become more visible after cleaning. Making an existing defect visible is not causing it.
- ICON is not responsible for pre-existing damage, defects, or wear, whether or not it was apparent before the Services began.
- ICON is not responsible for damage arising from previously applied products, prior repairs, aftermarket films or wraps, failing adhesive, failing clear coat, or components already loose, brittle, corroded, or at the end of their service life.
- We photograph vehicle condition before and after service as a routine part of our documented process.
- Any claim of damage caused by ICON must be reported before the vehicle leaves our care, or within 24 hours of service completion, with photographs, so that it can be fairly inspected. Claims raised after that window cannot reliably be attributed to our work.
8. Results and Expectations
ICON will exercise professional care and skill. However, we do not warrant that every defect can be removed. Deep scratches, sanding marks below the clear coat, permanent stains, burned or set-in odors, headliner delamination, cracked leather, and paint failure may be improvable but not eliminable. Paint correction removes a measured amount of clear coat and is inherently limited by the paint remaining on the vehicle.
Where a result is uncertain, we will say so before starting and, where practical, demonstrate on a test section for your approval.
9. Ceramic Coatings and Protective Products
- Coating durability claims assume proper maintenance, including appropriate wash technique and intervals. Automated brush car washes, harsh chemicals, and abrasive tools will shorten or void coating performance.
- Any coating warranty period is stated in writing at the time of service and applies only to the coated surfaces identified in that document.
- Coating warranties do not cover chips, scratches, impact damage, chemical etching left untreated, paint failure, or damage from improper maintenance.
10. Right to Refuse or Stop Service
ICON may decline or discontinue Services, in whole or in part, where the vehicle or location presents a health, safety, or liability concern. This includes biohazardous material, human or animal waste, blood, mold, insect or rodent infestation, hazardous chemicals, controlled substances, structural damage, or an unsafe working environment. Where work has already begun, you remain responsible for the value of work performed.
11. Insurance
ICON Detailing LLC carries commercial general liability insurance. Certificates of insurance are available on request. Our insurance does not extend to the contents of your vehicle, to pre-existing damage, or to loss covered by your own automobile policy.
12. Limitation of Liability
To the maximum extent permitted by California law:
- ICON’s total aggregate liability arising out of or relating to the Services shall not exceed the amount you actually paid to ICON for the specific service giving rise to the claim.
- ICON shall not be liable for indirect, incidental, consequential, special, exemplary, or punitive damages, including loss of use, loss of value, diminished value, rental costs, lost profits, or loss of business opportunity.
- Nothing in these Terms limits liability that cannot be limited under applicable law, including liability for gross negligence, willful misconduct, or fraud.
13. Indemnification
You agree to indemnify and hold harmless ICON Detailing LLC, its members, employees, and contractors from any claim, loss, or expense arising from your breach of these Terms, from your failure to disclose a material vehicle condition or modification, from your lack of authority to authorize the Services, or from a property owner’s or HOA’s objection to work performed at a location you designated.
14. Photography and Media
ICON may photograph or record vehicles before, during, and after service for quality documentation and for marketing. We do not publish license plates, VINs, addresses, or client names. If you prefer your vehicle not appear in any public marketing, tell us at booking and we will honor that — no explanation needed. Non-disclosure agreements are available on request for private clients.
15. Site Content
All content on the Site, including the ICON Detailing name, logo, photography, and copy, is the property of ICON Detailing LLC and may not be reproduced without permission. Prices, packages, and service descriptions on the Site may change without notice.
16. Dispute Resolution
We would much rather fix a problem than argue about one. Please contact us first at admin@icondetails.com so we have a fair chance to make it right.
If a dispute cannot be resolved informally within thirty (30) days, the parties agree to attempt mediation in the county in which the Services were performed before commencing litigation. Nothing in this section prevents either party from bringing an action in California small claims court where jurisdiction permits.
17. Governing Law
These Terms are governed by the laws of the State of California, without regard to its conflict of laws rules. Venue for any action shall lie in the state or federal courts serving the county in which the Services were performed.
18. Severability and Entire Agreement
If any provision of these Terms is held unenforceable, the remaining provisions remain in full force. These Terms, together with any written service agreement or coating warranty issued for a specific appointment, constitute the entire agreement between you and ICON regarding the Services.
19. Changes to These Terms
ICON may update these Terms. The version in effect on the date of your service governs that service. The current version is always posted at icondetails.com/terms.html with its effective date.
